Cancelling a Reservation

Steps and what happens to calendar and messages.

Cancelling a reservation marks it as cancelled and frees the dates on the calendar. This article explains how to cancel and what happens afterward.

How to Cancel

  1. Go to DashboardReservations.
  2. Find the reservation you want to cancel.
  3. Click Cancel (or the cancel action). The button may be red or clearly labeled.
  4. Confirm in the dialog. The system will warn that the action will free the dates and may be irreversible for booking purposes.
  5. After confirmation, the reservation status changes to Cancelled.

What Happens When You Cancel

  • Calendar – The check-in to check-out dates become available again on the property calendar. Other guests (or you) can create a new reservation for those dates.
  • Reservation record – The reservation is not deleted. It remains in your list and history with status "Cancelled" so you can still see guest name, dates, and any notes or messages.
  • Messages – You can optionally send a cancellation email to the guest (if the UI offers it). Automated message rules may also send a cancellation template if you have configured one for the "reservation cancelled" event.

Using the AI Assistant

You can cancel via the AI Assistant. For example:

  • "Cancel the reservation for John Smith."
  • "Cancel reservation [ID]."

The AI cancels the reservation and the dates are freed. Check the Reservations list and the property calendar to confirm.

After Cancellation

  • The guest will no longer have an active booking for those dates. If you sent a cancellation email, they receive the notice.
  • You can create a new reservation for the same dates with a different guest if needed.
  • Past cancelled reservations stay in history for your records and reporting.
