Email Overview
Where settings live (Settings → Messages), template vs automation.
HostManageGo lets you send automated emails to guests and to your team (e.g. cleaning) at key moments: confirmation, check-in instructions, cleaning requests, and more. This article explains where to configure them and the difference between templates and automation.
Where to Find Email Settings
Go to Settings and open Messages (or Email / Message rules, depending on the UI). From there you can:
- Templates – Create and edit email templates (subject and body) in multiple languages. Templates are the content that is sent.
- Message rules – Define when to send an email (e.g. "3 days before check-in", "when reservation is confirmed") and which template to use. Rules are the automation.
So: templates = what is sent; rules = when and to whom.
Templates vs Automation
Templates
A template is a reusable email: subject and body, with placeholders (e.g. guest name, check-in date, property address). You can create one template per purpose (e.g. "Booking Confirmation", "Check-in Instructions") and write it in several languages (e.g. Portuguese, English, Spanish). The system picks the right language for each guest based on their preferred language. See Creating Templates and Placeholders.
Message Rules (Automation)
A message rule (or automation) says: "When event X happens (e.g. reservation confirmed, or 3 days before check-in), send template Y to recipient Z (guest, cleaning team, or you)." You create rules so that the right email is sent at the right time without manual work. See Message Rules.
Typical Flow
- Create templates – One for confirmation, one for check-in, one for cleaning request, etc. Add placeholders and save.
- Create rules – e.g. "When reservation is confirmed, send Booking Confirmation template to the guest." or "3 days before check-in, send Check-in Details to the guest."
- Result – When a reservation is confirmed or when the date approaches, the system sends the correct template in the guest’s language.
